Tags and Labels in Proggio: Adding, Filtering, and Key Differences

Introduction

Proggio offers two powerful features, Tags and Labels, to categorize, group, and filter your projects and tasks.

While both serve to better distinguish your work, they have important differences in customization and display.

1. Adding Tags 🏷️ to Projects and Tasks

Tags are a simple, lightweight way to mark and filter your work.
They are shared across both the project and task levels.

A. Adding Tags to a Project

You have two main ways to apply tags to a project:

  1. Via Project Properties:
    • Navigate to the project’s properties (click the ‘i’ icon next to the project’s name).
    • In the first tab, Properties, look under the priority section to find the Tags selection box.

  2. Via Portfolio List View (Bulk Tagging):
    • In the Portfolio List View, tick the checkbox corresponding to the project(s) you want to tag.
    • From the top left of the list, click the Tag icon to open a selection pop-up.

B. Adding Tags to a Task

The process is identical to the project level:

  1. Via Task Properties:
    • Navigate to the Task Properties.
    • Under the first tab, Info, find the Tags option.

    • In a Project List or Task Report view, tick the checkbox for the required tasks.
    • From the top left, click the Tags icon.

In any of the methods above:

  • Type your desired tag text into the choice box.
  • If the tag already exists, select it from the search results.
  • If it’s new, click the “Create ‘tag-name’” option to add it to the project/task and to the shared master Tag list.

2. Adding Labels 🔖 to Projects and Tasks

Labels are color-coded and customizable, offering more robust options for grouping and visualization.

A. Adding Labels to a Project

  • Navigate to the project’s properties.
  • Under the first tab, Properties, find the “Labels” option.
  • Click it to open a pop-up choice box where you can select, edit, or create new labels.

B. Adding Labels to a Task

You have a few ways to apply labels to tasks:

  1. Via Task Properties:
    • In the Task Properties, under the Info tab, you’ll see a choice box to select, edit, or add a new label.

  2. Via Task List View (Inline Editing):
    • Ensure the “Label” column is visible in your Task Report or Project List view.
    • Click directly on the label field corresponding to the task you want to edit.
    • A small window will pop up, allowing you to select, add, or edit labels.

Customizing Labels 🔖

  • Navigate to Settings > Customization > Labels.

  • Here, you can edit label names, choose their color, or remove them entirely.

3. Filtering with Tags 🏷️ and Labels 🔖

A. Filtering in All Levels by Tag or Label

  1. In most views, at any level (Portfolio, Project, or Task Report), add a filter for either Tags or Labels.
  2. Select the specific tags or labels you want to view tasks/projects for (e.g., filtering for projects labeled “Escalation to Other Team”).

  1. Pro Tip: You can always save the view for future use so that any project or task matching your filter will automatically appear in this view.

B. Filtering in Dashboard Widgets with Tags 🏷️

Tags can be used to filter and visualize project data across your entire portfolio on your dashboard, for example:

      • In a Portfolio Dashboard, add a Projects Data widget.

      • In the widget settings, select a project field to group by and choose Tags.

Result: The widget (e.g., a Pie Chart) will display all projects, divided according to the selected tags, providing a high-level visual insight into your portfolio data.

4. Grouping in Board Views (Kanban) with Labels 🔖

Labels are especially useful for visually organizing tasks and projects, allowing you to view them in a Kanban-style board that clearly groups items by their assigned labels.

  1. How it Works: Navigate to a Task Report or Project in a Board view and choose the Group by option to group the items by their Labels.

  1. Result: This instantly transforms the view into a Kanban-style board, where each column is dedicated to a specific label.

  1. Note: Tasks with multiple labels will appear under their first selected label column, but visually indicate their other labels using color markers.
