Introduction
Project templates in Proggio help you save time, ensure consistency, and standardize workflows across your teams. Instead of building projects from scratch, you can reuse proven structures, tasks, and settings—streamlining onboarding and execution for any recurring work. Whether you’re managing marketing campaigns, client onboarding, or product launches, project templates ensure every team follows the same proven process every time. According to the Project Management Institute, standardized templates reduce project setup time by up to 30%.
Set Up the Project You Want to Use as a Template
To create a template, you first need to have a project or intake project with the structure you want to reuse. Creating a well-structured project is the foundation for building effective project templates.
This means adding:
- Workstreams
- Tasks
- Milestones
- Dependencies
- Any other relevant project settings

📝 Note: You don’t have to create a new project from scratch — if you already have a project with the structure you like, you can simply create a template from that existing project.
Once you’re happy with the setup, you can turn it into a project template using one of the methods below.
Saving the Template
Option 1: Create a Project Template From Inside the Project
Make sure you’re in the project or intake project you want to convert into a template.
- Click the tools icon (top right corner).
- Select “Create Template” from the dropdown menu.

Option 2: Create a Project Template From the Portfolio Views
- Go to Portfolio View.
- Hover over the project name.
- Click the three-dot menu (⋯) that appears.
- Select “Create Template” from the context menu.

💡 Tip: Once the template is created, you can delete the original project if it was only used for templating purposes.
Viewing Templates
1. View Project Templates in Portfolio Cards View
Switch to the Card View in the Portfolio.
Look for the section labeled “[Your Space Name] Space Templates” and click on it to display only your project templates.

2. View Project Templates in Portfolio List View
Switch to the List View in the Portfolio.
Click the eye icon (👁) and select “Show Templates Only” from the dropdown menu.
This will filter the list to display only your project template projects.

Using a Project Template
There are two easy ways to start a new project using a saved template from your library of project templates:
Option 1: Use a Project Template From the Portfolio (List or Card View)
Navigate to your Portfolio and filter for templates (e.g., click the “Templates” section in Card View or use the eye icon in List View).
Click on the template you want to use — this will launch the “Create Project from Template” wizard, which guides you through creating a new project from your selected project template.

Option 2: Use a Project Template From an Existing Project
Click the ➕ Create button at the top-right.
Select “Add from Template”, then choose your desired project template from the available templates.

- If the current project is empty, the project template will fully populate it.
- If the project already contains workstreams and tasks, the project template’s items will be added below the existing structure so nothing gets overwritten.
Duplicating an Existing Project
You can also duplicate an entire project instead of creating a template—this is useful when you need a one-time copy rather than a reusable project template:
Navigate to Project Properties by clicking the ‘i’ icon next to the project’s name.
- In Portfolio Views, the ‘i’ icon appears when hovering over a project name.

- At the project level, it’s located in the upper-left next to the project’s name.

- In Portfolio Views, the ‘i’ icon appears when hovering over a project name.
- In Project Properties – Click Duplicate Project at the bottom-left.
- You will be prompted to enter the new project’s name.

- After saving, you can reschedule the project from the Project Properties view:
- Go to the first tab and change the project start date.

- All tasks will automatically adjust to align with the new start date.

🕓 Tip: Duplicating is ideal for a one-time copy of a project, while project templates are better for repeated use across multiple projects.
Edit or Remove Templates
If you want to edit or remove a project template, follow these steps:
- Navigate to the Portfolio Card View or List View, and follow the steps explained above to display only your project templates.
- Hover over the project template to reveal the three-dot context menu (⋯).
- Click the options to edit the template or delete it if no longer needed.
