Intro to Proggio's AgenticAI
Proggio’s Agentic AI goes beyond timeline generation.
Once you create a project plan, the AI actively assists with project execution through intelligent recommendations and real-time support.
In this tutorial, you will learn how to access and use the Agentic AI recommendations to streamline your workflow.
What Are AgenticAI Recommendations?
AgenticAI recommendations are intelligent suggestions surfaced for individual tasks based on your project’s current state.
When you work on a task, the AI analyzes it in the context of your full project and provides relevant next steps.
Examples of recommendations (per task):
- On a recruitment task: “You haven’t recruited inspectors yet. Would you like help creating a job posting template?”
- On an execution task: “Inspection phase execution. How would you like me to help? I can create an execution checklist.”
- On a prep task: “Document distribution finishes after phase 3, but inspections start in phase 2. Should I reschedule all inspections so prep materials are ready first?”
- On an overbooked resource: “Sarah is allocated at 150% capacity next week. Would you like me to suggest optimal task reallocation?”
Each recommendation is tied to a specific task and the decisions you need to make for that task.
Getting Started
Once you create a project, AgenticAI recommendations become available.
To access:
- Navigate to your project in Proggio
- Click the colored stars ✨ icon in the top-right corner

- AI recommendations appear on the right side in a chat window with a list of suggested actions based on your project tasks

You’ll notice that the AgenticAI automatically generates recommendations for key tasks.
Using AI Recommendations: Step-by-Step
Follow these steps to work with AI recommendations effectively: First, view suggestions. Then, refine and implement them.
Viewing Recommendations
Step 1: View Available Recommendations
When you open the AgenticAI recommendations panel, you’ll see several suggested actions.
Each recommendation is tied to a specific task in your project and shows:
- The task it relates to
- The specific help being offered
- A button to select any task to get a specific recommendation for
Example recommendations:
- “Would you like help creating a job posting template?” (for a “Recruitment” task)
- “Would you like me to create an execution checklist?” (for an “Execution” task)
- “Would you like help drafting a training template?” (for a “Training” task)
Step 2: Select a Recommendation
Next, click any recommendation to open a discussion channel after viewing the suggestions.

Refining and Implementing
Step 3: Chat & Refine
The AI opens a discussion channel where you can collaborate:
- Ask for modifications (“Make it shorter” or “Add this element”)
- Ask clarifying questions
- Request alternatives
The AI works just like OpenAI but with full context of your project, including:
- Your project timeline
- Task dependencies
- Project goals and scope
- Previously created content
Step 4: Review & Implement
Next, the AI delivers its recommendation.
You decide how to implement it — either manually in your project or by asking Timeline GPT to help build it.
The AgenticAI analyzes and suggests, but you maintain full control over what actually happens in your project.
Accessing Custom AI Help (Beyond Recommendations)
You’re not limited to the automatic recommendations. You can get help with any task:
- Right-click on any task in your project
- Select “Discuss with AI”

- Ask for specific help: execution checklists, templates, documentation, etc.
Example:
Right-click a task and select “Discuss with AI.”
The chat window opens with AgenticAI prompting: “Guide Proggio AI to help with your next move.”

Then, type your prompt to request the specific assistance you need.
The Power of Persistent Context
One of Proggio’s key features: all AI discussions are saved with your project.
Why this matters:
- If an employee leaves the company, the information stays with the project
- Team members can return to the same discussion months later
- You can switch between different AI threads on the same project
- No information is lost or forgotten
How to access previous discussions:
Either:
- Look for a dropdown list of all AI threads on your project
- Switch between different task discussions
- Continue conversations from where you left off

Or:
Right-click any task and select “Discuss with AI”.
The chat history for that task will appear in the AI panel, showing all previous conversations and recommendations for that specific task.
Moving from Discussion to Action
The AI recommendations create a discussion, but you can also take direct actions on your project:
While using AI recommendations, you can also take direct actions in your project. For example, you can:
- Manually add workstreams
- Create new tasks
- Add dependencies
- Adjust timelines
- Assign resources
Important: Manual work and the AgenticAI recommendations work together seamlessly. Making a change manually won’t stop the AI from providing context-aware recommendations.
Best Practices for Using AgenticAI
Iterate
Iterate actively: Don’t accept the first output. Instead, ask follow-up questions and request adjustments.
Review before implementing
- Always understand what the AI is recommending before you act on it.
Combine approaches
- Let AI generate suggestions > customize manually > then refine with AI again.
Use AI for execution tasks
- Templates, checklists, documentation, and process workflows.
Pro Tip: Agentic AI works best when you actively engage with it — challenge suggestions, ask follow-ups, refine iteratively.
Remember: You maintain full control.
Every change requires your approval, and you can adjust anything manually anytime.
