How to Import Your MS Project File into Proggio

Introduction

Proggio makes it easy to import your Microsoft Project files and convert them into interactive Proggio Projectmaps.

This guide walks you through the complete import process, from uploading your Excel file to exploring your converted project.

Prerequisites

Before you begin, make sure you have:

  • Your MS Project file exported as Excel (.xlsx) format
  • Access to Proggio with appropriate permissions to create projects

Step 1: Navigate to Import

  1. Navigate to any the following modules – Portfolio, Project Intakes, Task Report, Project
  2. Click the + Create button and select Add project – A pop up window will open
  3. Under Import → select from MS Project

The MS Project import wizard will open.

Step 2: Upload Your File

The upload screen will prompt you to upload your Gantt chart Excel file.

You can either:

  • Drag and drop your .xlsx file into the upload area
  • Click to browse and select your file

Supported formats: .xlsx, .xls

Step 3: Analyze Your Project

After uploading, you’ll see your file listed with a green checkmark indicating it’s ready for analysis.

Click Analyze File to begin the conversion process.

Proggio will analyze your file structure, identifying tasks, dependencies, resources, and milestones.

Step 4: Review Analysis Results

If your file is compatible, you’ll see a success message with a summary of what was found:

The analysis summary shows:

  • Number of Items: Total tasks identified
  • Duration: Project timeline length
  • Resources: Team members assigned
  • Milestones Found: Key project milestones (Milestones are tasks that span 0 days)

Project Timeline: You’ll also see the start and end dates for your project.

You can either:

  • Click Upload Different File to start over
  • Click Continue to Resources to proceed with the import

Step 5: Map Team Resources

Next, you’ll see a list of all resources (team members) found in your MS Project file.

Why Add Emails?

MS Project exports might only contain resource names.

Adding email addresses allows team members to access and update their tasks in Proggio.

For Each Resource:

  • If needed – Enter the team member’s email address in the provided field
  • Toggle the switch to send them an invitation to join Proggio
  • Or leave the toggle off and choose “Add later” to invite them at a different time

Tip: You can add emails now or skip this step and add team members later from your project settings.

When finished, click Continue to Milestones.

Step 6: Review Milestones

Proggio automatically identifies milestones from your MS Project file. Here you can review and manage them.

Milestone Actions:

  • Keep: Leave the green “Keep” button selected to maintain as a milestone
  • Task: Click to convert the milestone into a regular task
  • Remove: Click the trash icon to exclude this milestone from your project

Recommendation: Proggio may suggest reducing the number of milestones for clearer project visualization.

Consider removing or converting some to maintain a clean timeline view.

When satisfied with your selections, click Next step.

Step 7: Organize Workstreams

This is the most important step – organizing your project structure into workstreams (task containers).

Understanding Gantt Indent Levels

MS Project uses indent levels to organize tasks hierarchically.

Proggio converts these levels into:

  • Level 0: Dividers (if present) – visual separators on your project map
  • Workstream Level: Task containers – main project phases or workstreams
  • Task Level: Individual tasks
  • Sub-task Level: Tasks nested under parent tasks

Selecting Your Workstream Level

Choose which Gantt indent level should become your workstreams.

For example:

  • If your tasks are at Level 2, select Level 1 as your workstream level
  • Tasks at Level 2 will become main tasks
  • Tasks at Level 3 and below will become sub-tasks

Customizing Workstreams

For each workstream, you can:

  • Edit: Click the edit icon to change the workstream name
  • Change Color: Select a different color to represent it on the project map
  • Remove: Click the trash icon to exclude it from the project

Projectmap Preview: At the bottom, you’ll see a preview of how your workstreams will appear in the project map.

Important: You can adjust all of these settings later in Proggio, so don’t worry about getting everything perfect now.

When ready, click Continue to summary.

Step 8: View Conversion Summary

Congratulations! Your project has been successfully converted.

Conversion Summary

The summary shows:

  • Total Tasks: Number of tasks created
  • Milestones: Milestones included in your project
  • Workstreams: Task containers created
  • Items Modified: Any adjustments made during conversion

You’ll also see details about removed items and milestones converted to tasks based on your selections.

Your Options:

  • Back: Return to previous steps to make changes
  • Open in Proggio: View your project map
  • Convert Another Project: Start a new import

Click Open in Proggio to explore your project.

Step 9: Explore Your Project Map

Your MS Project has been transformed into a Proggio Projectmap!

What You’ll See:

  • Workstreams (Left Side): Your task containers are listed on the left panel
  • Tasks on the Map: Individual tasks are displayed across the timeline
  • Sub-tasks: Tasks with numbers in the top right corner contain sub-tasks
  • Dependencies: Lines connecting tasks show task dependencies

Viewing Sub-tasks

Click on any task with a number badge to open a split-screen view showing all sub-tasks contained within.

What’s Next?

You can now:

  • Adjust task dates and durations
  • Add or reassign resources
  • Create new dependencies
  • Customize workstream colors and names
  • Add milestones or convert tasks to milestones
